Welcome to the Island.

We are the digital intelligence our clients choose to reach their goals. Charming masterminds to create smart solutions – just like you.
But before that let's give you a brief, basic orientation to our concept team. It's divided into Strategy, Content & Campaigning, Art Direction and UX & Analytics. Each discipline has its own Head Of directly under our Chief Creative Officer Nils Hartmann.
1. Team & Disciplines

What we do? Feel free to ask anyone and anything. Basically we contribute strategy, concept & campaigning, art direction, UX & analytics.
1.1. Strategy
[edit]Let’s be honest with you, you’ll find any number of strategy definitions out there. Only thing important to us: we focus on strategies for all kinds of brand communication. Our playing field is our specialization – the digital landscape – as well as other marketing areas. Plus we’re unlocking the doors to our creative counterparts’ corridors of flow. Pathing the way for creative excellence by making the hardest hustle feeling effortless.

3. Internal Structures
[edit]Resource Planning
[edit]Your first touchpoint of what to do and for which clients to work is our resource tool. It shows you on which projects and with how many hours you are booked on them. Don't worry most of the time these bookings are made by account and project managers in consultation with your Head Of and sometimes with you directly.
Project Flow
[edit]Project managers or, in some cases, account managers will come to you and other needed departments with client briefings. Together you go through the initial briefing and discuss time and effort. Once these have been accepted by clients, things can get started. In a kick-off meeting, all project participants are onboarded as well as tasks and timings defined.
Asana
[edit]And to go easy on your short term memory system project managers document everything in Asana using tickets with deadlines. Now the hard part begins and you document EVERY major milestone (e.g. send out for client) within the tickets assigned to you. During project, there should be internal reviews to check the intermediate status and the direction.

Presentations (incl. file storage)
[edit]We mainly use Keynote. But that is not the important thing to remember here. There is a Drive folder structure for each project. Within this structure you store all the files you have created. Please ensure that the files are named correctly and consistently.
Nomenclature in general:
All projects, folders and files are created using a uniform naming convention.
This consists of an abbreviation of the customer’s name, the two-digit year, the abbreviation of the department (3 or 1 character long) and the consecutive project number. This is followed by the more precise designation of the project, file or similar..:
[Client][YEAR][DEPARTMENT][PROJECTNUMBER]_[TITLE]
Example Naturgut Kampagne for Penny 2023 → PENNY23_INT05_Naturgut
Team Responsibilities (Status Jan. 2023)
[edit]Tim Trapmann as Head of Strategy and Ben Godry as Head of UX & Analytics are in charge of their respective disciplines - meaning resource planning, team members and feedback rounds. But you can reach out to them for any internal, structural or personal matter concerning all concept team members.
Feedback rounds for Art Direction and Content & Campaigning are done with Nils Hartmann.
Meetings

[edit]Our bi-weekly meet. 30 min to discuss smart solutions and human things. To stay sharp we talk and share things from time to time. With the ambition to leave wiser than before – and living up to being charming masterminds.
4. Tools
[edit]1password
[edit]One essential tool in being a charming mastermind is our central tool for all log in data. There you will find log ins for online tools and passwords to your Keynote, which - if your create them - is your responsibility to document.
On your first day you received a sheet of paper with your access data on it. Use it and create your personal master password. For troubleshooting contact the IT department.
Google Suite
[edit]Including calendar for meetings and absences, mail (you know what to use it for), chat for short messaging and drive for saving all documents of projects. Furthermore we occasionally use docs, sheets, presentations or forms for collaborating online. You will find numerous templates for official documents - convenient isn't it?
You'll find your log in data in 1password.
Agentursoftware
[edit]The agency software can be accessed via my.parasol. You can use this to announce business trips, which then are automatically transferred to your calendar and timeboard. Depending on your position, you have additional insights into the team and personal details via the agency software.

Timeboard
[edit]Even charming masterminds have to do it - timekeeping. From my.parasol you access the Timeboard where you track how long you worked on a project. Furthermore this is where you call in sick and request holidays.

Ressource Tool
[edit]As described above this is your first touchpoint for the projects you are booked on. You access it via my.parasol. Please reach out to your respective Head Of or project managers concerning bookings or open resources that you might have.

Asana
[edit]As described above we use Asana as our ticket system. You log in via your Google account. For more info read this Wiki-Article. Please use it properly. :)
